Call for Papers Guidelines

This is an overview of expectations, recommendations, and best practices to apply in your submission. This list is not exhaustive, but the intention is to inform in advance some of our processes.

Read the guidelines below to craft the perfect application and send it to us by February 22nd.

Submissions that do not fit into any of these categories are also welcome, provided that they are relevant or inspirational for the tech community.

EXPECTATIONS

Every year we receive hundreds of proposals for our Conferences and we have to make a selection based on a number of reasons:

  • How it fits in the agenda
  • Relevance of the topic/technology
  • Expertise of the speaker
  • Description of the proposal

While we want to accommodate a lot of talks, we usually find ourselves choosing one talk over the other, since we have a limited amount of spots in our agenda.

SELECTION PROCESS

The selection process of the talks for all our conferences is performed by our Program Committee, a group of experts on different fields from our communities that help us craft the agenda. This team helps us identify the most interesting topics  for each edition. Then the Content Manager (responsible for the Agenda) will do a final selection based on the most voted proposals, and balance it in terms of topics, level of the talk, and (sometimes) languages.

Since we are a horizontal conference, we need to perform some balance to include as many topics as possible. The Content Manager also defines slots for talks and invites relevant speakers.

DIVERSITY

At Codemotion we think diversity is relevant, more than ever, and we try to embrace it and promote it as much as possible. We want a conference that covers several topics, where our attendees can learn about Javascript, JVM, AI, Machine Learning, Software Architectures, Microservices, etc.

Valuing diversity goes much farther than appreciating the diversity of the technology realm. We also value diversity in our planning committee, volunteers, speakers, and attendees. This includes gender, cultural background, and many other facets of humanity’s rich fabric. We feel that learning about a subject from a different angle is valuable and enriches all of us. We welcome and encourage submissions from everyone.

On every edition we try to allocate a minimum amount of talks for underrepresented groups. We think this brings value to the conference, since we want to offer different perspectives and backgrounds.

TYPE OF SESSIONS

For the in Person Conferences we will have several tracks covering different topics, but sessions will be:

  • Talks: 40 minutes long with Q&A. This is the usual session where you deep dive into a topic and give an overview, it could include a demo or case study.
  • We may also include Panels, and other formats, since we try to give space for the communities as well.

SUBMISSION STRUCTURE

Topics

We appreciate novelty and real case studies: take into account what could be useful to our audience, according to your experience. Also, if you are planning to present a talk you have already delivered elsewhere, try to add a twist, a fresh touch.

The audience of our tech conference is getting more and more international and skilled every year: our main aim is to offer them a real opportunity of growth in a multicultural oriented environment.

Talk title

The title of your talk is probably the hardest part of your application: it has to capture the attendees’ attention and spark their interest. Keep it short, memorable, compelling, with a touch of personality, hinting at the subject and focus of your talk.

Abstract

Please note that the abstract field can contain a maximum of 600 characters (spaces included), so if you exceed this limit it will be cut from the system.

Levels

  • Beginner: Introductory talk on a cutting edge technology/framework/language etc. Keep always in mind, even when you are delivering a beginner session, that your audience is going to be made up of IT, experienced professionals: so avoid presenting the very basics of your topic.
  • Intermediate: A detailed analysis on some aspects of well-known technologies, issues, and topics.
  • Advanced: A deep dive talk for a keen and skillful audience. This is the talk you’d wish to attend to learn something new on your key topic.
  • Non-technical: A wide-ranging and far-reaching proposal on cross-cutting themes: personal career experience and points of view will be highly appreciated.

Your Speaker Profile

Please, remember to keep updated your profile with the current job title and a high quality picture. This will help us to do a better promotion of your talk 🙂

Guidelines for a good quality picture:

  • Quality: high quality and colour image; real photos, no caricatures
  • Description: intact half-length figure (i.e. no cut parts, face clearly visible, no external objects)
  • Dimension: minimum size 600px short side
  • Backround: neutral or uniformç

When will you contact me?

Depending on the amount of proposals, we will try to contact speakers as soon as we close the Call 4 Papers. However, it will take longer to close the agenda , and sometimes we need some backup talks in case someone declines or cancels at the last moment. There are 3 situations for your proposal(s):

  1. Your proposal is approved, so you will receive an email confirming that we selected your talk, and next steps (if you sent more than one, assume that the other proposals are discarded). There can be at least 3 windows of communication from our side, matching when we publish new speakers on our site.
  2. Your proposal is waiting for approval: meaning that it didn’t pass the first (or second cut), and it’s still under review from the organisation. Ideally this situation can last up to 2 months before the date of the conference

Your proposal is not accepted, you will receive an email soon (if you haven’t already, check your spam folder). Depending on the amount of proposals, emails can be more personal. But if you have questions, or doubts about it, feel free to contact us for feedback at speakers@codemotion.it
Deadline for this could be up to 2 months before the conference date (e.g.: For the Madrid Conference, you should have received an email by March 9th).
